Responsibilities and Duties

The principal role of the Coordinator is to ensure the smooth functioning of ASEN: managing its membership and communications activities, overseeing the running of its highly regarded annual conference, seminar series and podcast, and supporting the voluntary members of the ASEN Steering Committee in their roles.

With several hundred members (all of whom are subscribers of our two journals Nations & Nationalism and Studies in Ethnicity and Nationalism), one of your main tasks will be to ensure the delivery of key membership benefits. You will be expected to handle enquiries, process subscriptions, oversee improvements to our online membership system, and contact Wiley, the publisher of the journals. More broadly, you will be expected to grow the Association’s overall membership and web presence, and to prepare and distribute the bi-weekly e-newsletter to our database of 2,500 contacts.

As Coordinator, you will be expected to take the lead in promoting and increasing ASEN’s online presence, through the organisation of online webinars, the creation of an academic blog, the development of a member’s networking hub and the establishment of an online teaching platform. You will also be responsible for the promotion of ASEN on social media and the smooth running of our existing online platforms. Advanced website-management skills are therefore required to help develop our online platforms and oversee their daily update.

If the covid-19 crisis allows it, these activities will be accompanied by on-site events such as seminars or the annual ASEN conference. Organising the conference includes, among other tasks, planning and promoting the conference, liaising with speakers, managing participant registration, supervising volunteers, securing sponsorship, creating the conference programme, and coordinating bookings.

The successful candidate will report to the ASEN Steering Committee and work with them to set ASEN’s strategic priorities. Moreover, you will be responsible for monitoring and updating the annual budget and cash flow, and for cultivating partnerships to ensure the Association’s growth and financial sustainability.

You will have considerable scope to make the job your own as well as the opportunity work alongside some of the best-known scholars in the field of nationalism and ethnicity. As the position only recently became a full-time one, there will be a review after a year and adjustments could be made to the number of hours. As most of the coordinator’s activities can be carried out online, there is no location requirement. However, since occasional trips to help organise events might be needed, applicants living in the UK (particularly Edinburgh or London) will be prioritised.

Required skills

Essential

  • Excellent verbal and written communication skills, in a range of formats and settings
  • Advanced website management skills (WordPress and others)
  • Advanced social media skills (Facebook, Twitter, Zoom, Webinar software, SoundCloud)
  • Demonstrable experience in outreach and communications
  • Demonstrable experience of working with others to plan and organise events (e.g. arranging bookings, coordinating invitations, managing RSVP spreadsheets etc.)
  • Ability to take the initiative, manage your own time and work with minimal supervision
  • Ability to deal with internal and external contacts to high professional standards
  • Enthusiasm and commitment

Desirable

  • An interest in the study of ethnicity and nationalism
  • Experience of using a mass mailing system (preferably Mailchimp)
  • Demonstrable graphic design skills (e.g. creating posters, event banners, social media assets)
  • Experience of working in a higher education or research organisation
  • Experience of running a conference
  • Experience of creating and maintaining budget and cash flow documents
  • Experience of supervising volunteers
  • Experience of publishing
  • Living in Edinburgh or London
